About the Role:
The Director of Finance and Administration plays a pivotal role in shaping the AGGV's strategic direction and ensuring its long-term fiscal health. Reporting to the Director/CEO, this senior leadership position oversees the organization’s Finance, Human Resources, Information Technology, and Administration functions. With a focus on operational excellence, risk management, and staff development, the Director ensures the effective use of resources while upholding the AGGV’s mission and reputation.
Key Responsibilities:
- Financial Leadership: As a financial steward, you will manage the organization’s financial operations with precision and responsibility. This includes preparing quarterly and annual financial statements, leading the annual budgeting process, and ensuring accurate cash flow and forecasting. You will oversee the external audit process, liaising with auditors and the Finance Committee to ensure compliance and transparency. You will also develop internal controls, assess financial risks, and provide detailed financial reports for the AGGV Board and Foundation Board to support strategic decision-making.
- Human Resources: Lead and oversee all HR functions with the support of an external HR consultant. This includes maintaining and updating policies, ensuring compliance with employment standards, and administering the Gallery’s benefits package, including the Extended Health and Municipal Pension Plans. Represent the organization in labor relations, including Union Management Committee participation and collective bargaining. You will also oversee recruitment, onboarding, staff evaluations, and professional development, ensuring a positive, inclusive workplace culture aligned with the Gallery’s mission.
Information Technology: Ensure the reliable operation and maintenance of the Gallery’s IT systems by managing outsourced IT service providers. Monitor and assess the organization’s hardware and software needs, procure necessary equipment, and provide training to staff on technological tools. Implement IT risk management protocols to ensure data security, system integrity, and compliance with privacy standards.
Administration: Provide administrative leadership by supervising accounting and administrative staff, coordinating key operational initiatives, and ensuring that assignments align with the Gallery’s goals and timelines. You will support board and committee meetings by preparing and presenting materials, contributing to effective decision-making. Incorporate risk management principles into administrative processes to safeguard the Gallery’s reputation and resources.
Foundation Governance: Act as a vital liaison between the AGGV and the AGGV Foundation. You will serve as a member of the AGGV Foundation Board, managing financial reporting, investment updates, and year-end audited financial statements. You will also support the Foundation’s governance and operational activities, ensuring seamless communication and alignment with the Gallery’s objectives.
What We're Looking For:
- A degree in accounting, finance, or business administration, with a recognized accounting or business designation, or equivalent related work experience.
- Preference for candidates with a CPA designation or similar certification.
- At least 5 years of experience in financial management, ideally in the public practice, industry, or not-for-profit sectors, with a preference for experience in a not-for-profit environment.
- Proven ability to oversee and ensure the accuracy of financial data, reporting, and audit coordination.
- Demonstrated experience in developing and implementing risk management strategies.
- Strong track record of creating and executing policies and procedures related to finance and administration.
- Exceptional organizational and analytical skills, with a focus on problem-solving and sound decision-making.
- Outstanding communication and interpersonal skills, with the ability to build strong relationships and work effectively with a variety of stakeholders.
- Experience managing in a unionized work environment, including familiarity with collective agreements and labor relations.
- Highly adaptable, with the ability to balance and prioritize multiple tasks in a dynamic environment.
- Skilled in process design and improvement to enhance organizational efficiency.
- Experience working with governance boards and familiarity with government funding processes is an asset.
- Integrity, credibility, and cultural sensitivity, coupled with a personable and approachable demeanor.
- Ability to work after hours and on weekends as needed.
- Ability to travel for work as required.
- A Driver’s License is preferred.
Compensation and Benefits
- Flexible and supportive work environment with opportunities for professional growth.
- Annual salary range is $110,000 to $120,000 (pro-rated for 28 hours) plus paid annual leave of 4 weeks and an additional 5 days of lieu time (again, pro-rated). Extended Health, Dental and LTD benefits.
