Level Ground was founded in 1997 with a focus on fair trade and a passion for specialty coffee. We believe great, fair trade, organic coffee should be accessible to everyone. We started roasting coffee after-hours with a borrowed roaster in batches of 4lb coffee in Victoria, BC. Our first farmer partnership was with a co-op in Colombia and since then, we have worked with over 5,000 farmers across seven countries. We source high quality beans from organic and fair trade small-scale farmers. At Level Ground, we love the planet every day. Our patented roasting tech radically reduces emissions and we use 13 streams of recycling and composting, keeping us landfill free for over 20 years!
Job Overview
Level Ground’s business development team supports a co-operative, communicative, forward-thinking environment where hard work, care and continuous improvement are valued.
The Business Administration & Experience Manager supports Level Ground’s recurring financial, administrative, employee and business-system processes while acting as a leader and champion for the experience of customers and staff engaging with the company. This role improves how people interact with Level Ground and serves as a connector across departments to create a consistent, thoughtful and values-driven experience for customers, employees and external partners.
What you will be doing
Customer & Sales Administration
Produce customer statements and maintain pricing schedules and customer information
Review credit holds and support timely resolution of customer account questions
Maintain recurring sales/broker reporting and calculate commissions
Support onboarding of new customers while improving the experience for customers and sales partners
Accounting & Banking Administration
Coordinate accounts payable, corporate credit cards and routine banking administration
Reconcile designated accounts and pending payments and coordinate grant payment tracking
Support payroll, RRSP and compliance administration, following procedures set by CFO
Employee Administration & Experience
Coordinate employee onboarding, departures, benefits, records and system access
Ensure employees receive clear information and timely support
Improve onboarding and the administrative experience for staff
Corporate & Organizational Administration
Maintain corporate records, procedures, calendars and documentation
Track recurring administrative and compliance deadlines
Coordinate with banks, benefits providers and external partners, and support company-wide administrative systems
Identify gaps between departments and move issues toward resolution
Team Leadership
Lead three direct reports
o Set clear priorities and monitor performance
o Foster a collaborative, service-focused team environment
Perform other organizational duties as assigned
What you will need
• 3+ years of experience in business administration, bookkeeping/accounting administration, office/operations management or a related role
• Experience supervising, coaching or leading others
• Strong organizational skills and attention to detail, with the ability to manage recurring deadlines across
• multiple processes
• Comfort with accounting/ERP and business systems
• Strong communication skills across phone, email and in-person interactions
• Service-oriented, problem-solving mindset and sound judgment around confidential information
• Familiarity with payroll, benefits or grant administration is an asset
• Experience documenting and improving processes or standard operating procedures is an asset
• Understanding and experience in a food service, coffee, CPG, hospitality or manufacturing environment
